How to calculate AI ROI for a business
Start with the people and workflow you plan to change, not a vendor's productivity claim. Enter the number of affected employees, the weekly hours you expect each person to recover, the loaded hourly cost of that work, and the monthly software bill.

- Employees × weekly hours recovered × loaded hourly cost × 4.33 weeks
- Monthly net savings
- Monthly gross value minus the monthly software cost
- Software ROI
- Monthly net savings divided by the monthly software cost, expressed as a percentage
- Payback period
- Software cost divided by weekly gross value, converted to days
What the estimate leaves out
The result does not subtract implementation, training, integration, review, or change-management costs. It also assumes recovered time becomes useful capacity. Add those costs to your business case and reduce the savings estimate when the time cannot be reassigned.
